CHINA WAREHOUSE RECEIVING

China consolidation warehouse receiving checklist

A consolidation warehouse should establish what arrived, connect it to the correct supplier order, record visible exceptions and confirm what is ready to ship. Receiving control comes before repacking or combining cargo.

Before suppliers dispatch

Send the warehouse an expected-delivery list before cargo moves. Each supplier should use a receiving reference that the warehouse can match without relying on a driver’s verbal explanation.

Field Purpose
Buyer and shipment reference Connects the delivery to the correct consolidation project.
Supplier and purchase order Preserves the commercial source of the cargo.
Expected package count Allows shortages and overages to be identified.
Product or SKU list Supports identification and downstream packing instructions.
Shipping marks Helps keep packages traceable after warehouse work.
Special handling notes Flags fragile, non-stackable, heavy or restricted cargo.

Receiving record on arrival

The receiving report should separate what was expected from what physically arrived. A useful record normally includes:

  • arrival date and receiving reference;
  • supplier and purchase-order reference;
  • received package count;
  • visible outer condition and shipping marks;
  • gross weight and packed dimensions, where included in scope;
  • photographs linked to the receiving record;
  • shortage, overage, damage or identification exceptions;
  • current status: received, on hold, awaiting instruction or approved.

Basic warehouse receiving is not automatically a product inspection. If unit counting, specification verification, functional testing or detailed quality control is required, define that scope separately.

Handling discrepancies

Do not hide an exception by combining the cargo. Record the issue, isolate the affected packages where practical and request a buyer decision.

Exception Possible next decision
Missing packages Recheck, wait for the supplier, or approve a partial shipment.
Damaged outer packaging Photograph, inspect within the agreed scope, repack or hold.
Wrong or missing marks Identify the cargo and approve relabeling before consolidation.
Measurements differ Use verified final measurements for the freight plan and quote.
Late supplier Wait, split the shipment or change the release date.

Shipment release checklist

Receiving confirms what entered the warehouse. Release confirms what is leaving. Before dispatch, verify:

  1. all planned suppliers are received or intentionally excluded;
  2. open discrepancies have an approved decision;
  3. repacking, labeling or export packing work is complete;
  4. final package count, dimensions and gross weight are recorded;
  5. commercial and packing information is reconciled for the agreed scope;
  6. freight mode, destination and delivery requirements are confirmed;
  7. the buyer or authorized party has approved shipment release.

Frequently asked questions

What should a China consolidation warehouse record when cargo arrives?

The record should connect each delivery to a buyer and purchase order, then state the received package count, visible condition, shipping marks, measurements and any discrepancy requiring a decision.

Is warehouse receiving the same as product quality control?

No. Basic receiving normally checks package count, identification and visible outer condition. Product quality or functional testing requires a separately defined inspection scope.

When should consolidated cargo be released for export?

Release after planned suppliers are accounted for, discrepancies are resolved or approved, warehouse work is complete, final measurements are recorded and the authorized party has approved dispatch.
